What Happens to Client Data if a Clinician Leaves or the Account Changes

Client data in PathwayNotes is never automatically deleted when a clinician's account status changes. If a clinician leaves a practice, their clients are not deleted — records remain accessible to the practice administrator and can be transferred to another clinician within the account.

If an account is cancelled, client data is retained for a period following the cancellation date. For the specific retention period and any export options available, contact PathwayNotes support before cancelling.

Archiving a client within an active account moves them out of the active roster without deleting anything — records remain fully accessible and restorable at any time.

If you're cancelling and need client records preserved or exported, contact PathwayNotes support before submitting the cancellation. Options may be more limited after cancellation is completed.
